Keyboard shortcut of the week: search and find

If you wish to bring up Windows' file search minimise all your windows and press F3. You can also search within a certain folder too: open that folder up in Windows Explorer (the name for the program that opens when you double click on 'My Documents', 'My Computer', etc) and - you guessed it - press F3.

Pressing F3 opens search dialogs in many other programs as well: in Internet Explorer it opens (and closes) the vertical search bar; in MS Outlook it opens up the 'Advanced Find' dialog. Try pressing F3 when using applications that have some sort of search facility.

In a similar vein, you can open up the find facility in many applications by holding down the Control ('Ctrl') key and pressing F. To explain the difference between search and find, consider that you will search for a web page and when you have opened it you can find text within it. In MS Word Ctrl + F opens the 'Find and Replace' dialog. As with F3, try it out in any program that has a find facility.

Of course some programmers use slightly different standards. For example in Firefox both F3 and Ctrl + F open the find word dialog at the bottom of the screen.

Word to the wise: webmail woes

This is an issue that has cropped up a couple of times at the university where I work.

If you send yourself a document that you are working on, to continue working on it on another PC, remember to save the attached document onto that machine before you start to make changes to it. It is easy to forget this, open the document and start making changes. If you then hit the save icon it will not always save and when you then close whatever program you are editing the document in, your changes will be lost. This is particularly the case for documents accessed via webmail. If you remember to 'Save as' rather than just 'Save' you will be OK, because it will prompt you for a name and location where you wish to save it. Nevertheless, it is better to get into the good habit of copying the document you attached to the email onto the PC before you expend effort making alterations.

Keyboard shortcut of the week: email name look-up

When using MS Outlook, Outlook Express and Outlook Web Access on Internet Explorer you can quickly look up names in your contacts and address books with a keyboard shortcut.

Let us assume you are looking for a 'Thomas Jones', you can type 'tho jo' in the 'To..' field of a new email and hold down the Alt key and press K. Your email program will then either put the right address into the 'To..' field or it will present you with a list of matches, for example, there may be a 'Thomas Johnson' in your address book too, in which case both will be listed. Highlight the one you want in the list and click 'OK'.

As I mentioned, this shortcut works on Outlook Web Access if you access it using Internet Explorer. In order to see the list of matching names you may have to disable pop-ups for that site. To do so click on the yellow bar at the top of the new email page if it appears and set IE to always allow pop-ups from that page.

If you open Outlook Web Access using Firefox or another web browser you can use the same feature by clicking on the 'Check Names' button (pictured). This will then add the text you typed to the list in red, click on this to see the list of matches. Again, pop-up blocking may have to be disabled for that page.

This technique also works with the other address fields: 'CC' and 'BCC'.

How To Send Email To Undisclosed Recipients or Hide Email Addresses

Exposing the email addresses of people who may have wanted to keep them private is unethical since it encourages spam and email scams. The list of To: field may become too long hiding your message.

Functions of email fields
To: Shows recipients of the email you send.

Cc: Means carbon copy of the email you sent in the To field. Copy can be to yourself or someone else email. It is just for record.

Bcc: Means Blind carbon copy and therefore only you and the Bcc email recipient specified will know since the email address is automatically deleted on delivery.

How To Send to Undisclosed/hide recipients
1. Create / compose a new message in your email client account.

2. Insert "Undisclosed Recipients" in the To: field, followed by your email address in "<,>" braces. You can also leave it blank.

o The To: field should look like: "Undisclosed Recipients ".
o If you send emails to undisclosed recipients frequently, you can add your own email address to your address book with "Undisclosed" as the first and "recipients" as the last name without the quotes. Instead of filling in the To: field manually, you can then use the address book entry.

3.Put all the recipients' email addresses in the Bcc: field, separated by commas. You will first need to select show Bcc,if the field is hidden.

o The Bcc: field could look something like: "my.first.friend@example.net, my_second_friend@example.net, stillanotherfriend@example.com".

4.Finish Composing your message.

5.Send it.

6. To: now read "Undisclosed Recipients" or blank if To: was left blank

How To Find a Lost Email in Outlook 2003 (or higher)

Because of the various email platforms that can work with Outlook, it is tricky to tell you how to receive all email to your Outlook inbox. We can tell you; however, how to make sure you can see all the emails you receive as they were intended to be seen - with images. If a company is not in your address book or "Safe Sender" list, your HTML images will not display.
To have HTML display correctly, users can:
* Change their automatic download settings
* Add sender to your address book
* Add your email or domain to their approved sender list

To change settings:
1. Right click on a non-displaying image in an HTML email
2. Choose "Change automatic download settings" option
3. When the popup comes up, uncheck the first box in the list that says "don’t download pictures or other HTML content automatically
4. Click "OK"

To add sender to address book:
1. Open the email
2. Right click on the from address
3. Choose "Add to contacts" option

To add domain to safe sender list:
1. Right click on a non-displaying image in an HTML email
2. Choose "Add the domain to the safe sender list" option

How To Find a Lost Hotmail Email and Put It In Hotmail Inbox

In the new Hotmail you must "Mark sender as safe" to enable hyperlinks even in text emails and images in HTML emails.

Entering the email contact in the address book or contacts no longer whitelists the sender
To ensure messages from specific email addresses are not sent to your Junk Email folder, you can do one of two things:
1. Check the "Junk" folder if you do not see the senders name in your inbox
2. Click the "Mark as safe" link
3. Add senders email to your Safe List

5. Click "Add to list"

How To Find a Lost Gmail Email and Put It In Gmail Inbox

If you do not see an email from a sender in your Gmail inbox, due to the overzealous filtering by ISPs my email may have mistakenly been sent to your spam folder. Please open your spam folder look for it there, open it and mark it as "not spam"...
Since your ISP/email client probably uses some type of spam filter we ask that you add us to your trusted list of senders, contacts or address book. All also known as whitelisting
Click the link to your ISP or email client to Whitelist a sender, from: sender email/site.
To make sure email gets delivered to your inbox, you must add the email address sender email address to your contacts list.
If you haven't received your email, please follow the steps below:

1. Click the drop down arrow next to "Reply" in the upper right side of your inbox screen.
2. Click the "Add sender email or website to Contacts List" from the list that appears.
3. You will now see sender email/site appear under the link "Contacts" on the left side of the page.
4. Click the link "Contacts" and the in the "Search Contacts" form field.
5. Now you can select to move the sender email address to a contact list of choice and edit any details.

How To Find a Lost Yahoo Email and Put It In Yahoo! Mail Inbox

If you’re not receiving email you are expecting, there are two things you can do:
1. Use the "Not Spam" button in your Bulk folder.

Report as "Not Spam"
1. - Check your Yahoo! Bulk folder
2. - If you see the email from the sender, highlight it and click "Not Spam"
3. - This does not guarantee that your mail will be delivered in the future, but it does help.

Create a Filter
1. Click "Options" in the top right navigation bar
2. Select "Mail Options" from the list that drops down
3. Choose "Filters" located on the left side of the page
4. Click the "Add" button on the Filters page
5. Choose the field you want to match in the incoming message. For example, "header" or "to".
6. Choose the criterion by which you want a match to be made, such as "contains"
7. Enter the text string to compare. For example: from Mysender1
8. Choose the destination folder to which you would like the message delivered. For example: Inbox

How to stop Spam email and junk mail problem

Spam email or junk email is unwanted email received by the recipient. Almost every internet user will have received emails promising millions of dollars from corrupt politicians/fraudsters. A lot of time is wasted sorting through the email received and deleting spam email.

4. Remove your email id from your website. For contacting you, visitors to your website can use the contact form on the website. Also use a private who is service as far as possible for domain registration services.

5. Use a spam filtering software or email report spam option to separate out junk mail, but ensure that you have final control over the emails which are deleted. Most spam filters mark messages as spam based on certain words which are commonly used by spammers.

GMail Drive

GMail Drive is a free third-party Windows Shell namespace extension ("add-on") for Google's Gmail. It allows a user to access a virtual drive stored in a Gmail e-mail account by causing the contents of the Gmail account to appear as a new network share on the user's workstation.
